This notice explains how we handle personal information when you visit the ClimaticFlow website, request a demo or contact us about our services.
ClimaticFlow is operated by BeUnified. BeUnified is responsible for deciding how your personal information is used (the data controller). For privacy questions or requests, email hello@beunified.co.uk.
What we collect
When you request a demo, we collect your name, company name and email address. You can also provide a phone number and a message. We keep the correspondence you send us when we discuss your enquiry.
The required fields help us understand who is enquiring and get back to you. Phone and message are optional. Please avoid including sensitive personal information or your customers’ details in your message.
Our website hosting and form providers may also process technical information, such as your IP address, browser details and the time of a visit or submission, to deliver their services and protect against spam and abuse.
How and why we use it
We use your information to respond to your enquiry, arrange and tailor your demo, and follow up on the ClimaticFlow services you have asked about. We also use technical information to keep the website and enquiry form working securely.
Our lawful basis is legitimate interests: responding to business enquiries, explaining our services and protecting the website. Where you ask us to take steps towards a contract with you personally, we rely on those pre-contract steps instead. We may also keep information where required to meet a legal obligation.
Requesting a demo does not subscribe you to a marketing mailing list. We do not sell your personal information or use it to make automated decisions that have a legal or similarly significant effect on you.
Who handles your information
We use Web3Forms, operated by Web3Creative, to receive demo requests and deliver them to our email inbox. Our email and website hosting providers also process information as needed to provide their services. Web3Forms uses infrastructure and spam protection providers; these may process your submission, email address and IP address.
Web3Creative operates from India and uses infrastructure outside the UK, including servers in the United States. Its published data processing agreement provides for Standard Contractual Clauses and the UK International Data Transfer Addendum where applicable. These are contractual safeguards for personal information transferred internationally. You can read the agreement below or contact us for information about the safeguards relating to your enquiry.
We may also share information where necessary to comply with the law or establish, exercise or defend legal claims.
How long we keep it
We keep enquiry correspondence while handling your request and any related follow-up. If there is no ongoing business relationship, we delete information when it is no longer needed for that enquiry. The length of time depends on whether discussions are still active and whether records are needed to meet a legal obligation or resolve a dispute.
Web3Forms’ published policy allows it to retain form submissions for up to three years, unless a shorter period applies to the plan or the information is deleted earlier. Its retention is separate from the copies delivered to our email inbox.
Cookies and tracking
When configured, optional Google Analytics helps us understand website use, and optional Meta Pixel helps us measure advertising and reach people interested in ClimaticFlow. These services receive visit, page and device information only after you allow the relevant category. We do not send your demo form fields to them.
Our lawful basis for optional tracking is your consent. You can reject it or withdraw your permission at any time through ‘Cookie settings’ in the footer. We store your choices in your browser for 180 days. Our service providers may also use essential security technologies and technical logs to deliver the website and process form submissions.
Google and Meta may process information outside the UK, including in the United States. Their privacy policies explain their processing, retention and international transfer safeguards. Our cookie notice explains the services and choices in more detail.
Your rights
You can ask for access to your personal information, correction of inaccurate information, deletion, or restrictions on its use. You may also have a right to receive your information in a portable format. These rights depend on the circumstances and the lawful basis for using the information.
You have the right to object to our use of your information where we rely on legitimate interests. Contact us if you want to exercise this right or any of the rights above.
If you have a concern, please contact us so we can look into it. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator.
We update this notice when our handling of personal information changes. The date above shows when it was last updated.
